Everything You Need to Know About Amina
Answers to the questions residential providers ask most about resident fund management, compliance, and how we work.
Who does Amina work with?
Amina partners with residential providers that manage resident funds on behalf of the individuals they support, including organizations that serve—or plan to serve—as Organizational Representative Payees.
What if my organization serves as the Organizational Rep Payee for our residents?
Many residential providers serve as Organizational Rep Payees for their residents, and Amina will not replace the provider. Instead, we provide the systems, support, and operational expertise to help Organizational Rep Payees execute their duties according to Social Security’s guidelines and expectations.
Is Amina a bookkeeping or accounting firm?
No. Amina specializes in the operational administration and management of resident funds. We complement your accounting staff, bookkeepers, and CPAs by focusing on the day-to-day systems, documentation, and processes that keep resident fund operations organized and compliant.
Can you help us improve our current procedures?
Absolutely. Whether you’re building new processes from the ground up or refining existing ones, Amina can help develop practical workflows, policies, and internal controls that promote consistency, accountability, and efficiency.
Will we need to replace our current resident fund software?
Usually not. Amina is designed to work alongside your existing systems whenever possible. If your current software is meeting your needs, we’ll integrate with it. If improvements would significantly increase efficiency or accountability, we’ll recommend solutions that best fit your organization.
What if we are satisfied with our current policies and procedures governing resident funds, and just want someone to manage and oversee the operation?
If your organization already has effective policies and procedures in place, Amina can step into your existing operation and manage the day-to-day administration of resident funds while preserving the systems that already work well.
Do you provide staff training?
Yes. We provide training for employees responsible for managing resident funds, as well as the supervisors and residential managers who oversee those operations, promoting consistency, accountability, and confidence across the organization.
How does Amina support us during an OHCQ or Social Security audit?
The bulk of work for an audit occurs before an auditor ever walks through the front door. Amina ensures that policies and processes are in place, and documentation all organized, complete, and readily accessible, for peace of mind at any time. During an audit, we help gather requested documentation, explain resident fund processes, and support your organization throughout the review. We can also assist with developing the resident fund portions of any required Plan of Correction.
Can we use only some of your services?
Yes. Some organizations engage Amina for a one-time system setup or staff training, while others rely on us for ongoing resident fund management. We tailor our services to your needs.
How do we get started?
We begin with an initial consultation to learn about your current resident fund operations, identify your organization’s needs, and determine how Amina can best support your team.
What is the fee structure for Amina’s services?
Because every organization’s needs are different, Amina offers customized pricing based on the services provided, the size of your resident program, and the level of ongoing support requested. Whether you need assistance with system development, staff training, operational support, or comprehensive resident fund management, we’ll provide a clear, transparent proposal tailored to your organization after an initial consultation.
Do you work remotely?
Yes. Most services can be provided remotely using secure digital systems, minimizing disruption to your organization’s daily operations.
Do you also assist us with applications and recertifications for common State and Federal benefits, such as Medicad, Food Supplemental Program, Social Security (RSDI), SSI, etc.?
No. Amina focuses on helping organizations develop the policies, systems, and processes to manage resident funds with confidence, accuracy, and care. We do not assist with resident benefit applications or recertifications.
